How we allocate candidate ownership inside your CRM

In this article we explain how we allocate candidate ownership inside your CRM, the workflow and variables involved. 

Please note that the information below only applies if you are using our CRM Handoff. This is most likely the case if you are using idibu inside Bullhorn, Vincere, Jobscience, or eBoss. The exception would be if you are using some other bespoke forwarding setup via a third party.

When you use traffic light forwarding

This is the logic we use if you are using the idibu traffic light system to forward your candidates. It's the same whether you are using the single click Green traffic light workflow...
...or allocating a specific status to forward the candidate into your CRM vacancy:
Equally, the same rules apply if you are using the amber traffic light to forward the candidate into your CRM talent pool.

Note

A key point as you will see below is whether a connection exists between the CRM and idibu user profile. This is the connection that we establish when a CRM user first opens idibu inside their vacancy. However, it's possible for an idibu user who does not have a connection with their profile in the CRM to still action the candidate forwarding process when idibu is opened separately.

The order of scenarios

  1. If the user who actions the candidate forwarding has their CRM profile connected to their idibu profile we will allocate ownership to that user against the CRM candidate.
  2. If they do not have a connection between their idibu and CRM profiles, we will use the profile of the advert sender, provided that user has their CRM profile connected to their idibu profile.
  3. If that user is not available in the CRM anymore, or they do not have their CRM and idibu profiles connected we will use the idibu Super Admin profile.
  4. If the idibu Super Admin profile is not connected to their CRM profile, then we will use the first connected profile in the idibu user list

When all candidates are forwarded automatically

If you do not use the traffic light system and all your candidates are automatically forwarded straight into your CRM, then the profile of the advert sender is what we will use for ownership in your CRM. As above, this will rely upon them having their CRM profile connected to their idibu profile. If they do not, then scenario 3 will be applied, and failing that, scenario 4.
